Managing your UniMail Email Quota What is an email quota? Each staff and student at UNSW is provided with an email account on the central UNSW Mail Server. This account is accessed via the UniMail web interface or by an email application. The email account provides you with an @unsw.edu.au email address and a set amount of disk space on which to store your sent and received emails and their attachments. This set amount of disk space is called a quota and is set at 20MB. This size is adequate for general email usage, providing you regularly delete read or unneeded emails and their attachments. How do I check my quota? You can do this from within UniMail:
Your quota usage is displayed at the top of the 'Folders' page
How do I know if I've gone over quota?
How do I manage and reduce my quota? It is important that you regularly delete emails, especially those with large attachments.
Hints - Don't forget to delete your sent-mail messages when you no longer need them
- Your email messages may go over many screens, use the arrows at the base of the page to scroll forward and back between screens to view ALL of your email messages
- You can better manage your quota by using an email application to manage your emails. See base of page. Over-quota issues I can no longer receive email messages
How do I delete messages to reduce my quota? If you are over quota, you need to delete messages to free up space for new emails as follow: 1. Click on the Options icon in the top menu in UniMail 2. Click the title 'Deleting and Moving Messages'
3. Un-check the box beside 'When deleting messages, move them to your Trash folder' as illustrated
4. Click the 'Save Options' button then click the Inbox icon to return to your Inbox folder. 5. Select all of the emails you no longer wish to keep by ticking the checkbox at the start of 'each message. Hint: Choose 'All' from the Select' menu will select all visible messages. 6. Click the 'Delete' label situated at the top or bottom of the message list
The messages will be flagged as 'ready for deletion' with a line through them.
7. To remove the messages from the mail server, click 'Purge Deleted' from the top or bottom right of the message list.
Using an email application to manage your email If you find you are regularly going over quota, try using an email application on your home computer. An email application will download all of your mail to the computer, instead of leaving it on the mail server. Email applications are a better long term solution as they can:
