zMail Common Questions and Issues


About zMail

What is zMail?
zMail is an e-mail service hosted by Microsoft in their US data centre. The service is based upon Microsoft Exchange Server 2010 (currently under development) and branded as Outlook Live. Microsoft has extended Exchange to host multiple organisations within the same instance. It is integrated with Windows Live for authentication.

Who is allowed to use zMail? Who is not?
All students, except research students (i.e. PhD and Masters research), and recent alumni of UNSW have zMail accounts. Staff and research students are not provisioned with zMail accounts as they will soon be receiving a UNSW hosted Exchange service. (If you are waiting for your UNSW Exchange account, and in the interim you require a larger mailbox quota on your UniMail account, you can make a IT Service Centre request for this.)

What are the websites for zMail?
https://zmail.unsw.edu.au for login using UniPass (or zPass).
https://my.unsw.edu.au also provides a zMail login using UniPass.
Who supports zMail?
UNSW is responsible for creating and updating accounts in zMail and routing e-mail to zMail. The service itself is the responsibility of Microsoft. If you are having difficulty with zMail, please contact the IT Service Centre.

How do alumni get a zMail account?
Whilst alumni are not officially supported right now, recent graduates who activated their alumni account can use zMail.

Can I still log in to UniMail?
Yes, you will be able to use UniMail to read your old messages until the end of 2009.

I don’t want to use zMail, I want to use UniMail.
UNSW has made the decision to no longer support student e-mail storage in house, and UniMail will be discontinued at the end of 2009. If you do not wish to use zMail, you may redirect your official UNSW e-mail messages to any other web based service, or the e-mail service supplied by your Internet Service Provider (ISP). If you opt to redirect your zMail, it is your responsibility to ensure that the nominated e-mail address is current and valid. View instructions on how to set your e-mail delivery location.

Problems Logging into zMail

I can’t log in to zMail
You need to initialise your zMail account before you can use it. View the zMail set up instructions, they take you step-by-step through the process of setting up your zMail account and redirecting your UniMail e-mail to your new zMail account.

If I enter my password incorrectly numerous times, can I get locked out ? How many attempts am I allowed?
  • Using zmail.unsw.edu.au and UniPass only — lock out is not possible.
  • Using zmail.unsw.edu.au with a password that matches neither UniPass nor zPass three times in a row will cause your zPass to be locked out for a period of one hour.

Setting Up zMail

I’ve set up my zMail but I still can’t log in
You should be using your UniPass to access your zMail via the zMail login page.

(Validate your UniPass is working by trying to log into myUNSW)

Note carefully the error message received when you try and log on to zmail.unsw.edu.au. If you are unable to resolve the problem, please call the IT Service Centre noting the error message displayed.

Passwords for zMail

What passwords do I need to log into zMail?
UNSW has developed a single sign on entry point to zMail which is zmail.unsw.edu.au. This enables you to use your UniPass or zPass to log into your zMail account. my.unsw.edu.au also provides a zMail login using UniPass.

Using zMail

Is there any upload limit on size of attachments, what type of files can be uploaded?
The limit on the size of the attachment is 18Mb.

There is no restriction on the format of the file that may be uploaded.

What other limits are applied to zMail?


Can e-mails be restored/ backed up/ archived?
E-mails deleted by accident can be restored by using Internet Explorer, selecting Options > Organize E-Mail > Deleted Items. (Note this facility is not currently visible in Firefox or Safari browsers).

At the moment there is no backup or archive facility.

Will SkyDrive function be supported by the UNSW IT?
UNSW will only support the e-mail function of Windows Live. You are free to use any other Windows Live services with your zMail Windows Live ID — however you will need to obtain support direct from the normal Microsoft channels.

How can I configure my zMail Inbox?
You can alter the look and feel of your Inbox via the Options > Settings tab.

How can I filter SPAM e-mails?
  • Select Settings > Junk-Email.
  • By default Junk E-mail filtering is on.
  • You may also add addresses to Blocked Senders, Safe Senders and Safe Recipients lists.
How do I check what e-mail I sent or received?


I don't like the zMail user interface. Are there alternatives?
You can alter zMail to use a simple and clean interface by selecting Settings > General > Accessibility and selecting 'Use the blind and low vision experience'. You then need to log out, and wait a moment, before logging in again. You can also reverse the above steps. Another alternative is to use a desktop based mail client.

I don't like the zMail user interface. How can I get it changed?
The service zMail is built on — Outlook Live — is still under development, and Microsoft is keen gather user feedback. Please let Microsoft know of your concerns by clicking Options and clicking on the give us feedback link at the bottom of the page. If your issue is preventing you use the e-mail service, please also let the IT Service Centre know.

E-mail Addresses and Aliases

What will my e-mail address be when I move to zMail?
Following the redirection of your UniMail e-mail to zMail, your e-mail address will be the same as it was before, that is: z1231456@student.unsw.edu.au (where 'z1231456' is replaced by your student ID).

If you have set up a user friendly e-mail address it will be something like:
Initial.LastName@student.unsw.edu.au  (e.g. J.Lin@student.unsw.edu.au)
Note that e-mail sent from zMail before your e-mail is redirected to zMail will appear to have come from an @zmail.unsw.edu.au address. This will change once you have redirected your e-mail to zMail.

What is a ‘user friendly alias’, what is the difference between alias and user name?
All UNSW e-mail accounts have an ‘official address’ and an optional ‘user friendly address’ (or alias). Your official e-mail address looks like z1231456@student.unsw.edu.au whilst your user friendly alias will look like J.Lin@student.unsw.edu.au. Either can be used interchangeably.


E-mail sent to either your official or ‘user friendly’ address will be delivered to your user defined e-mail delivery location. The e-mail delivery location currently defaults to UniMail, however you can alter it to zMail, or to any other e-mail service (such as one provided by your ISP).


Why do I need user friendly alias/Can I log in to zMail with my alias?
The user friendly alias is simply an alternative e-mail address (which does not disclose your student ID). If you use zmail.unsw.edu.au to login to zMail you only need your student ID and UniPass (or zPass).

The aliases on offer don’t include my preferred name or my name is incorrect. How can I change this?
Change of display name requires contacting student central so the NSS ‘preferred name’ can be updated.

zMail alias has an extension of @zmail.unsw.edu.au, @student.unsw.edu.au – what are they, what shall I do to use @student.unsw.edu.au?
Whilst ‘@zmail.unsw.edu.au’ is part of your Windows Live ID it is not encouraged that you use @zmail.unsw.edu.au as part of your e-mail address. It refers specifically to the Microsoft Outlook Live mailbox.

It is recommended that you use @student.unsw.edu.au as your e-mail address extension. The advantage of using this form of your address is that it does not change — regardless of where you are forwarding your e-mail.

How do I set where my UNSW e-mail is delivered?
To forward all of your incoming UNSW e-mail to zMail or some other e-mail service you need to click the “Update Delivery” button in the UNSW Identity Manager tool.


Note: These instructions are for zMail redirection. If you wish to use some other e-mail provider such as your existing Gmail or BigPond account provide your preferred providers e-mail address (e.g. myname@bigpond.com) in the 'Update Delivery' section.
Redirection of e-mail can take up to 30 minutes to propagate through the systems.

How long do I have to wait for an e-mail return address (reply-to) update to take?
If you change your user friendly e-mail address, changes can take up to 4 hours to propagate through the UNSW and Microsoft e-mail infrastructure for them to take effect.

Using Other E-mail Clients with zMail

The easiest way to use zMail is by using your web browser. zMail will work with most web browsers, however the features available will vary slightly between browsers.


What desktop or phone based e-mail clients are supported by zMail?
zMail also supports the use of desktop or phone based e-mail clients that use the standardised POP or IMAP protocols for receiving e-mail and SMTP for sending e-mail. You need both your Windows Live ID and Windows Live ID password (See Logging in directly via Windows Live below). Configuration summary follows:

How do I set up my Mac to work with zMail?
Apple Mac email applications such as Apple Mail and Entourage are supported by zMail.


Can I use my mobile phone to access my zMail account?
Yes, there are three choices to using zMail on a mobile phone:
  • POP or IMAP and SMTP (settings described in table above).
  • HTTP browser in the phone.
  • Exchange ActiveSync (if supported by the phone).

Can I use Outlook and the MAPI (Exchange) protocol?
The UNSW zMail service does not currently support Outlook and MAPI. You can however use Outlook with POP or IMAP and SMTP as described above.

For Current Users of UniMail

Will my current e-mails and contacts be transferred to zMail?
Unfortunately, no. E-mails and contacts will remain in the old UniMail service. The UniMail service will remain available until 2009.

How can I migrate e-mails and contacts from UniMail?
You can transfer e-mails to your new account in three ways:
  • Configuring zMail to Import your UniMail Inbox (see next section below).
  • Forwarding each e-mail from UniMail to your new zMail account (this can only be done one e-mail at a time).
  • Setting up an IMAP client with connections to both UniMail and zMail and dragging and dropping e-mails from UniMail to zMail (this allows moving whole folders).
Contacts can be exported from UniMail in CSV format, but unfortunately can not be imported into zMail at this time.

How can I import my UniMail Inbox to my zMail?
zMail is able to read e-mail from other mailboxes (including UniMail).

Note that this method copies messages from your UniMail Inbox only. It is recommended that if you wish messages from other folders to be copied, you move them into your UniMail Inbox before commencing these steps.


I still have e-mails delivered to my old UniMail — what should I do to get e-mails delivered to zMail?
To redirect your UNSW e-mail from UniMail to zMail, view the Redirect UNSW Email to zMail instructions.

Important areas to check
  • Double check that the e-mail address you have entered in the “Change Email Delivery Destination” section has been correctly typed in otherwise your e-mail may not be delivered correctly.
  • Redirection of e-mail can take up to 4 hours to propagate through the systems.
  • To use zMail the mail delivery location must be set to z1231456@zmail.unsw.edu.au where ‘z1231456’ is your student ID.
What will happen to my old UniMail account and my e-mails?
Your UniMail account will remain accessible until the end of 2009. After this time access will be terminated.

However from early May 2009 any new incoming e-mail to your student account will be automatically redirected to zMail (or other e-mail provider if you have set it up).

You should activate your zMail account and redirect your UniMail e-mail to zMail (or to some other preferred e-mail provider such as Gmail) before the end of April 2009.

UNSW UniMail accounts will be automatically redirected to zMail early May 2009. This will mean all new incoming e-mail will be directed to your zMail account.

After old UniMail is decommissioned, what will happen to my old e-mails, what should I do if I want to keep some/all of them?
After 2009 you will no longer have access to your UniMail e-mails. If you have e-mails your wish to retain you will need to forward them to your new e-mail account. Do this after you have redirected your UniMail to your zMail or some other e-mail service.

For Current Windows Live Users

If you have a pre-existing Windows Live ID, and you are accessing Windows Live services using your web browser, you may have some problems using zMail at the same time. One solution is to link your Windows Live IDs. With linked IDs, you sign in only once for all accounts (note you must login using your zMail account), and you can switch between accounts.


Note you need to specify your Windows Live ID and Windows Live ID Password when configuring linking (see section below Logging in directly via Windows Live for details).

When logged onto zMail, to access other accounts, select 'Home', 'Profile' or 'SkyDrive', then the pull down menu on the right-hand-side will contain all your accounts. Then you can click 'Mail' to access the appropriate e-mail service.

Another alternative is to use the appropriate desktop client (e.g. Windows Live Messenger or Windows Live Mail) for your pre-existing Windows Live account as these will not clash with a web browser based Windows Live ID login.

zMail for Alumni

Which alumni have access to zMail now?
Students that have used zMail prior to graduation are currently supported on zMail. zMail will be made available for all alumni late in 2009.

I’m a student about to graduate. What happens to my e-mail?
If you activate your alumni e-mail (via https://idm.unsw.edu.au) you will obtain a new @unswalumni.com e-mail address, and this becomes available as your lifelong e-mail address. Your @student.unsw.edu.au address will cease to function three months after completing your course (an e-mail warning will be sent confirming this action).

How can I alternate between my student and alumnus e-mail addresses?
See the section How can I alternate between my staff and student e-mail addresses below.

zMail for Staff

I'm a staff member as well as a student. Can I use zMail?
Yes you can, however if your staff e-mail is on the UNSW Exchange server — we recommend you continue to use that service. If you do configure zMail, whilst also provisioned for UNSW Exchange e-mail, you will find e-mail posted from zMail will be delivered to your zMail account and email posted elsewhere will be delivered to your UNSW Exchange account.

How can I alternate between my staff and student e-mail addresses?
If you wish to send some e-mail using your staff e-mail address and some using your student e-mail address, zMail will not meet your needs. zMail only allows a single reply address to be set at a time. Alternatives are:
  • Use a desktop e-mail client and your ISP SMTP server (or the UNSW SMTP server whilst on campus) for sending e-mail (which typically allow any return address).
  • Use a e-mail service like Gmail (which allows any return address that has been previously validated).
  • Alternatively — continue to use your staff e-mail service — this will be UNSW Exchange server in the long term.

Terms & Conditions

There are two set of terms and conditions that you are required to read and agree to in setting up your zMail account.

UNSW Terms and Conditions of Use.
When you first login into the UNSW Identity Manager site you will be asked to read and accept the conditions of use for the UNSW IT infrastructure as defined in the “Acceptable Use of UNSW ICT Resources policy”. This encompasses the UNSW network, computers, PDAs, software and personally owned equipment connected to UNSW networks

Microsoft Agreements
When activating your zMail account you will be asked to review and accept the Microsoft Windows Live Service Agreement and Privacy Statement. If you do not accept these Agreement statements you will not be able to activate your zMail account.

If you choose not to accept the Microsoft Agreement and Privacy Statement you will need to provide an alternative e-mail provider such as Gmail or your local ISP e-mail service and redirect you UniMail e-mail to this new account.

Troubleshooting

I can't select the Country on the Windows Live account information login screen, and when I click `I Accept’ I get an error message `page cannot be displayed’.
This problem seems to appear in corporate environments, and seems to be due to partial blocking of javascript. One work-around is to setup your zMail from home or some other non corporate environment. Once setup, zMail should work in the corporate environment.

Internet Explorer is popping up a window saying `A Web browsing error occurred’ when I log onto zMail.
Check your Internet Explorer settings.
  • Select Tools > Internet Options.
  • Select the Advanced tab
  • Check that Enable native XMLHTTP support is ON.
When setting up UniMail e-mail migration in 'Other Accounts' I get a message like 'Email address "z1234567@student.unsw.edu.au" isn't valid because it's either the primary SMTP address or in the proxy address list for mailbox "prod.exchangelabs.com/Microsoft Exchange Hosted Organizations/zmail.unsw.edu.au/z1234567"'
A work-around is to re-enter the e-mail address field but omit 'student.' from the e-mail address. e.g. z1234567@unsw.edu.au (where 'z1234567' is your student id).

[This works because the POP server details for @unsw.edu.au are the same as for @student.unsw.edu.au.]

Logging in directly via Windows Live

The easiest way to use zMail is by using your UniPass via the zMail login page. However, if you wish to login directly (via https://outlook.com), or use a PC based e-mail program, or use some other PC based program that requires a Windows Live ID — you will need both your Windows Live ID and Windows Live ID Password.

Your zMail Windows Live ID is ‘z’ followed by your student number, followed by ‘@zmail.unsw.edu.au’, (e.g. z1234567@zmail.unsw.edu.au).

The Windows Live ID password has been randomly generated by UNSW. You only need this password to activate your zMail account when you first login. View first time setup instructions.

How do I change my Windows Live ID Password?
If you wish to change your Windows Live ID password you need visit https://outlook.com and click ‘Forgot your password?’. You will need to answer some of the password reset questions you supplied when you activated your account.
